Why verify an Apollo export
Here's how to clean an Apollo export before it reaches your sending tool. The usual path has two steps. Export from Apollo, then import into your sending tool. We're adding one step in between. Why? Because an email status is a snapshot. Apollo's export even has a field for it: primary email last verified at. After that date, people change jobs and mailboxes close. Then the list can sit for days before it goes out. When an address bounces, your sending domain takes the hit. So check the list right before you send.
Export the list
Step one. In Apollo, select your contacts and click Export. You can choose all emails, or only verified ones. Check your export settings too. A field that isn't selected comes out blank, so make sure Email is included.
Upload to BillionVerify
Step two. Open File List Verify in BillionVerify, and drop in your CSV. It finds the email column and counts the unique addresses. You see the credits it can use before you start. Click Verify, and it runs in the background. You get an email when it's done. Here are results from bigger sample lists. This isn't Apollo data, so your mix will look different.
Read the results
The breakdown shows how many addresses landed in each status. Here's what to do with each one. Send to valid. Remove invalid and disposable. Hold back unknown. Role addresses are shared inboxes, so write for that. And catch-all needs its own plan.
Handle catch-all
A catch-all domain accepts mail for any address, even one that doesn't exist. So the server can't confirm this one mailbox. That's why it gets its own status, instead of counting as valid. You may see an address marked verified in Apollo come back as catch-all here. That's not an error. It means the mail server won't confirm that mailbox, so the call is yours. Here's a simple plan. Keep catch-all out of your main send. Put them in a smaller, separate campaign, and watch the bounces. If they climb, stop.
Download the clean list
Now pick the status you want. Start with valid, then click Export Results. Your download keeps the columns from your file, and adds the verification columns at the end. So names and companies stay with each address. Import that file into your sending tool, and you're ready to send. If a list sits for a while, verify it again before the next campaign.
What it costs
On cost, each result uses one credit, including catch-all and role. Unknown, bad syntax and disposable are free. File uploads need a paid account, and any credit purchase unlocks them.
