  1. Before you write

A cold email is decided before the first line. Who it's for, and why now. Start with who deserves the email. A good prospect needs two things. They fit your ideal customer profile, and something gives you a reason to write now. Fit without a reason is a guess. A reason without fit is a waste. A trigger is a recent event you can point to. A funding round. A move to a new tool. Your email connects that event to one problem you can help with. Then make sure they can receive it. A sharp message to a dead address just bounces, and that counts against your next send. So check addresses before they enter a sequence, not after a campaign goes wrong.

  2. Subject lines

In the inbox, people see three things first. Your name, the subject line and the preview text. The subject names the topic. The preview gives them a reason to open. Vague subject lines make the reader guess. Quick question could be anything. Following up could be anything. Following up on pricing approval can only be one thing. Here's a simple test. Could they understand the topic from the lock screen of a phone? Short is good when it's informative. Short is useless when it's generic. Be careful with curiosity. A teasing subject might earn the open, then lose trust when the email doesn't match. The subject makes a promise. The first line has to keep it.

  3. The email itself

The body has one job, and that's one decision. Say why you're writing in the first sentence. Add only the context they need. Ask one clear question. Then stop. Put together, it reads like this. Saw you're moving to a new CRM. Migrations often leave duplicate contacts behind. Is that on your list right now? There's no product tour and no feature list. It's just a question they can answer. Use plain words. Swap just checking in and wanted to reach out for the actual purpose of the email. Personalization should make the email more relevant, not more creepy. Mention what they actually did. Match the ask to their stage. Don't repeat their first name, leave broken merge fields, or pretend a mass email is a private note.

  4. Follow-ups

A useful sequence can run about two weeks. Open with the email, plus a LinkedIn connection. In the second stretch, share a case study tied to their stack. Then try another channel, like a call. End with a soft breakup that makes the next step easy. Every touch needs its own reason. If a follow-up only says bumping this up, it hasn't earned the send. And every reply changes the route. A positive reply goes to a rep, quickly, while the context is fresh. A useful but non-urgent reply goes to nurture. No reply ends the sequence, rather than turning into endless noise. A bounced lead comes out before the next send. Don't keep retrying an address that has already failed.

  5. Before you send

So clean the list first. A verifier like BillionVerify gives each address a status, without sending any email. Valid goes in. Invalid and disposable come out. A role inbox suits a shared question, not a personal note. Catch-all gets a lower priority until the contact shows real interest. Unknown waits for review. Keep the reason in your CRM when you remove someone. Later, you'll know why they left the list. Single checks work with your free daily credits. Uploading a file needs a paid account. Then judge the work by conversations, not sends. Count the qualified replies from people you could actually reach. One person, one reason, one question, sent to an address that works. That's most of cold email.
