  1. The full setup

We buy mailboxes from Zapmail, and send with Instantly and Smartlead. Here's the full setup. It's seven steps, in this order. Domains. Google mailboxes. DNS. Export to your sending tool. Warmup. Verify the list. Then send. This is how we run our own outreach. The addresses on screen are samples.

  2. Buy domains

Step one, domains. Zapmail's guide says to use secondary domains for outreach. So your main domain stays out of it. In Zapmail, click Domains, then Buy New Domain. Search a name, and filter by extension. Dot com is the one Zapmail generally recommends. Add it to the cart. Buying several? Zapmail recommends Spread out, with about 90 to 240 seconds between domains. A burst of identical creation times is a pattern spam filters can link together.

  3. Create Google mailboxes

Step two, mailboxes. Zapmail's best practice is 3 mailboxes per domain, and 5 at most. Lower density helps long-term domain health. Go to Mailboxes, then Assigned. Switch the platform to Google Workspace, and click Assign Mailboxes. Then fill in the name, username and domain. Plan the count before you order. A mailbox order can't be reverted. And 24 hours after a domain's workspace is created, you can't add mailboxes to it. Google mailboxes take up to 3 hours. The status moves from In Progress, to Creating Password, to Active.

  4. Set up DNS

Step three, DNS. When you buy a domain in Zapmail, it sets up SPF, DKIM, DMARC and MX for you. There are no records to add by hand. Here's what they do. SPF lists who can send for your domain. DKIM signs each message. DMARC tells receivers what to do when checks fail. MX says where mail for your domain goes. One field is yours. Add a DMARC email on the same domain, so reports reach you.

  5. Export to Instantly and Smartlead

Step four, export. Select your mailboxes, click Export Mailboxes, choose your platform, and sign in. They show up there as soon as they're ready. We use both Instantly and Smartlead. The export window has a Warmup tab, so you can turn warmup on right there. One note for Instantly. Zapmail can't finish the export while two-factor login is on. And you need an active paid plan.

  6. Warm up

Step five, warmup. Warmup emails mimic natural conversations between email accounts, and that builds sender reputation. Here's the pace we use. At least 14 days of warmup first. Then 25 emails a day per mailbox, then 40, then 50. Warmup stays on the whole time. We only move up when two things hold. Bounce rate under 2% on the last 3 working days. And warmup health of 90 or higher on every mailbox.

  7. Verify the list

Step six. Warmup mail goes to other accounts in a pool, not to your leads. So a warm mailbox says nothing about your list. So we verify last, right before import. A list built on day one is two weeks older by now. Upload the CSV to File List Verify. It runs in the background, and you get an email when it's done. Then sort the results. Send to valid. Put catch-all in a separate, smaller campaign. Write differently for role addresses. Hold back unknown. Leave out invalid and disposable. Pick a status, and export a file for each campaign.

  8. Send

Step seven. Import each file into its campaign, in Instantly or Smartlead. Then launch. Then we watch each mailbox every day. If one passes 5% bounces in a day, or its warmup health drops below 90, we pull it from the campaign. That's the whole setup, in seven steps.

  9. What verification costs

On verification cost, each result uses one credit, including catch-all and role. Unknown, bad syntax and disposable are free. File uploads need a paid account, and any credit purchase unlocks them.
